A clear record of what happened in custody, when it happened, and who wrote it down.
Incident categories, items found and how they were found, and a thread you can follow when something needs checking again. Protected as the sensitive record it is.
What goes in the book
The custody starting point was built around a working watchhouse. Every list can be changed in Settings.
- Incidents from situation reports and medical events to assaults, self harm and deaths in custody
- Items found with the origin, such as street arrest or transfer, and the search method used
- General entries for muster, cell checks, transfers and handovers
- Locations such as cell, yard, observation cell, medical room and court holding
- Morning, afternoon and night shifts
What it fixes
Follow-ups that fall through the gaps.
Link a re-check or a later event to the entry it belongs to. Open any entry and the whole thread appears in order, ready to print.
Records that are hard to search.
Search by words, number, officer or location, and filter by date, type, category or shift.
Corrections that overwrite the truth.
Entries cannot be edited. The correction is added as a new entry, and the original stays as written.
Reporting that depends on counting by hand.
The monthly summary counts incidents by category and shift, finds by item type, and exports to Excel.
Safeguarding for people in custody
Welfare and incident records about people in custody are among the most sensitive. The content is sealed, and only named, signed-in people can open it.
- Entry text and details encrypted in the database file and in every backup
- Roles for officers, supervisors and administrators
- Entries chained so quiet changes can be detected
- An audit log of exports, backups and integrity checks
Fits alongside your other systems
It sits beside your custody and case systems, and alarm or door systems can add entries through the connection feature. The book exports to a spreadsheet.
What it is not
BastionOB is the occurrence book. It is not a custody management system: it does not allocate cells, run a property register or schedule observations. It does not replace your legal and policy requirements.
